Purpose of the Position

The purpose of the Outreach and Admissions Coordinator role is to support WW community cultivation by leading on community outreach, admissions, financial aid and serving as a key point of contact for participants, families and the general public. This position is well-suited for someone who enjoys engaging with the communities we serve, is energetic and outspoken about the mission and finds energy in supporting individuals through the admissions process. It requires a mix of effective social connectivity/extroversion, systems organization and razor-sharp focus on details . The Outreach and Admissions Coordinator reports to the Marketing and Communication Director and works collaboratively with the Programs team to ensure excellence in all aspects of getting individuals and their families connected to WW experiences and our broader community.

Core Accountabilities

1. Lead Program-Oriented Outreach and Community Building Efforts (30%)

  • Work with Marketing and Communications Director to articulate marketing and outreach priorities and support key tasks to ensure full enrollment of programs

  • Develop and deliver on seasonal outreach plan
  • Attend outreach events and deliver presentations to prospective participants
  • Cultivate relationships with organizational partners with a specific focus on referring partners (school personnel, affinity groups, youth groups, community-serving organizations, etc.)
  • Plan and host small community-building events, such as season Kick Off/Orientation event, meetups, etc. 
  • Manage general organizational communications via the info@ email and registration@ email accounts and answering voicemail

2. Guide Participants, Prospective Participants and their Families Through Admissions / Enrollment Process (40%) 

  • Communicate with participants and family members regarding enrollment process, payment, and admission status in a timely manner

  • Collect necessary health and medical information including counseling forms, anaphylaxis and asthma care plans, and general health forms. 
  • Make recommendations to the Program Director, advocating for secondary reviews as needed (as influenced by health information)
  • Aggregate cohesive participant health and medical information to share with field instructors prior to each course, print relevant participant health forms for field courses
  • Support course send-offs in partnership with the programs team to ensure all participants information has accurately transitioned to instructors and Program admins
  • Ensure all program applications are accurate and up-to-date in the Salesforce database
  • Maintain post-course communication with participants and families 

3. Manage Financial Aid Portfolio and Facilitate Dissemination for Participants Seeking Financial Assistance (5%)

  • Lead in developing a financial aid strategy and goals, aligned with annual budget
  • Collect and organize financial aid information from applicants
  • Award need-based financial aid packages using established guidelines.
  • Track progress against financial aid goals
  • Review and revise financial aid guidelines with the management team, as needed

4. Lead Administration of Registration Systems (20%)

  • Serve as lead and first point of contact with any and all registration platform/services (We use a service called Sawyer, currently)
  • Ensure our online representation of courses and registration process is fit for purpose (web site descriptions, prices, dates, etc.)
  • Address any troubleshooting of systems
  • Ensure participant data is imported accurately into Salesforce (CRM database)
  • Annually revist systems and processes to make sure they’re still serving the organization and participants 
  • Create comprehensive enrollment reports for the organization
  • Deliver weekly enrollment updates to Women’s Wilderness staff
  • Compile on-going, and end-of-year, participant demographics

5. Women’s Wilderness Team Engagement (5%)

  • Attend weekly team meetings and key events
  • Participate in 1 on 1 meetings with manager regularly
  • Participate in Performance planning, goal setting and evaluation activities
  • Liaise with key staff across functions of this position
  • Support events and fundraising efforts
  • Support the advancement of the mission of Women’s Wilderness by participating in strategy/goal setting and planning processes

Job Type

Full time (40 hours per week), non exempt. 

Compensation 

The salary range for this position is $39,000 – $45,000 annually, benchmarked based on Colorado Nonprofit Survey averages relative to comparable organizations. Exact placement on range will be determined based on a combination of experience, education and demonstrable skills. Additionally, Women’s Wilderness offers health care coverage, pro bono Outdoor gear discounts and professional development benefits for full-time employees.

Location

This position is based in Boulder, Colorado and requires regular office presence with some flexibility for remote work. The nature of this role requires travel around the Front Range and occasionally elsewhere and will require a personal vehicle (mileage is reimbursed). 

Experience, Skills and Abilities

  • 1-4 years of community-building, outreach and community engagement experience
  • 1-4  years of experience in admissions or enrollment functions
  • High degree of empathy and social relatability to diverse populations
  • Ability to organize self and others, including project management
  • Ability to track, handle and organize high volume of participant paperwork
  • Strong communication skills, including intentional listening, speaking, and writing
  • Ability and willingness to speak publicly in group and individual settings about Women’s Wilderness’ work
  • Ability to create and optimize systems, think beyond anecdotal and organize work accordingly
  • Excellent organizational skills and strong attention to detail
  • Experience working in G Suite/Google, database/Salesforce/comparable CRM
  • Fluent in Spanish (written and spoken) (optimal, but not required)
  • Event planning experience (optimal, but not required)
  • Ability to work in dynamic, fast-paced, multi-cultural and at times, ambiguous non-profit environments

  • Demonstrated commitment to social justice, equity and/or environmental conservation/stewardship
  • Passion for the outdoors and the mission of Women’s Wilderness
